Information we use
Account information can include your name, email address, phone number, profile details and account credentials. We also use enrollment, course progress, class attendance, test attempts, scores and support requests to operate your learning account.
Payment records can include amounts, payment references, payment status, fee concessions, outstanding balances, due dates, advance payments and grace periods. Store purchases may also require delivery details. Administrators can record offline payments and adjust course fees; those changes may be reflected in your account.
Device and service information can include device identifiers, device model and operating system, login sessions, notification tokens, IP addresses and activity or error logs used to maintain the service and protect accounts.
When you choose to submit posts, comments, messages, documents, images, notes or AI questions, we process that content to provide the feature you requested.
Why we use it
We use information to sign you in, manage access to purchased or assigned courses, deliver learning materials, record progress, operate classes and tests, handle payments and support, maintain account security and troubleshoot the website and app.
Your course administrator may manage individual fees, payment deadlines, grace periods and access status. Payment reminders are based on unpaid fees; a grace period may extend access while a balance remains unpaid.
AI tools and generated content
When you use an AI feature, relevant questions, selected text, submitted files or other supplied content may be sent to the AI provider configured for that feature. The service can use Google Gemini, OpenAI, DeepSeek or other configured providers. Their own privacy and processing terms also apply.
AI course descriptions use course information supplied by administrators, such as the title, fees, modules, scheduled classes and enabled features. Generated drafts remain editable before the administrator saves them.
Avoid submitting passwords, payment credentials or unnecessary personal information to AI tools. AI output can be inaccurate and should be reviewed before you rely on it.
Google Calendar and Google Meet
A course administrator may connect an authorized Google account to schedule classes and create Google Meet links. This connection uses the Google permissions shown during authorization.
Class titles, descriptions, dates, times, recurrence and meeting information are sent to Google to create or update events. We store event identifiers, meeting links and connection credentials needed to keep the integration working. Connection credentials are stored on the server outside the public website directory.
Skipping one class date changes that occurrence while allowing later recurring classes to continue. Deleting a synced class also requests deletion of its Calendar event. Administrators can revoke the integration through their Google account permissions.
Calendar authorization for this integration is performed by the administrator. Students do not need to grant access to their personal calendars to view the class information in Geoprep.
Device permissions and local data
Notifications use device notification permissions and delivery tokens. Files, camera or photo access may be requested when needed for a feature you choose, such as uploading a document or profile image.
Location setup and GIS or survey tools may request location permission. For courses with an administrator-configured access area, Study Reader, PDF Viewer and Video Viewer send precise coordinates, accuracy, account and course identifiers to the Geoprep server, with an in-app disclosure and consent, to verify access. Checks run on opening, returning to and periodically while using the viewer. These access-location records are retained for six months and then deleted. The viewer location check does not track you in the background. Location permission is required for those restricted viewers; you may leave the viewer and use other app pages without it. The separate app location setup check does not save or upload coordinates. A survey recording starts when you choose to start it and may continue while the app is minimized or the screen is locked, depending on your device permissions. Stop the recording from the survey tool when finished.
The app may keep settings, session information, downloaded content and cached learning data on your device. You can manage permissions through device settings; restricting a permission may limit the related feature.
Service providers and external links
We use infrastructure and services needed to provide Geoprep, including hosting, authentication or notification services, payment processing and configured AI services. Payments may be processed through Razorpay. Google services may provide sign-in, notifications, Calendar or Meet features.
Embedded videos, meeting services and external websites can process information under their own policies. Information you intentionally post in a community or discussion area may be visible to the people who can access that area.
Information may be handled by service providers outside your country. We may also retain or disclose information when necessary to meet applicable legal requirements, resolve disputes or protect the service.
Storage and security
We use access controls and other technical measures to protect account and service information. No internet service or device can guarantee complete security.
We retain information for as long as needed for the service, account administration, payment and financial records, security, support and applicable obligations. Some records may need to be retained after an account deletion request, for example to maintain required payment records or resolve a dispute.
Your choices and requests
You can review and update available account details in your profile, manage device permissions and notifications, and contact us to request access, correction or deletion of your personal information. We may need to verify account ownership before acting on a request.
For students using the service with a parent or guardian, the parent or guardian can contact us about the student’s information. Please do not submit unnecessary personal information about another person.
For privacy questions or account requests, email geoprepinstitute@gmail.com. Describe the request and identify the account without sending your password or full payment credentials.
Policy updates and acknowledgment
This page shows the current policy version and update date. We may notify users when the policy changes. Acceptance of the current Privacy Policy is required to access the updated app. We record the policy version and acceptance time. When a new policy requires acknowledgment, app access remains blocked until you accept it.
Acknowledging this policy does not automatically grant device permissions or Google account access. Those permissions are requested separately through the relevant device or Google authorization screen.
